Reflect how the business operates

A commercial assessment needs to consider actual working practices, not just the floor plan. Staff, visitors, contractors and the public may use a building differently. Activities such as cooking, storage, charging batteries and hot work can change the risk profile.

Send the floor area, number of storeys, operating hours and the nature of the business with your enquiry. Describe any shared access routes or adjoining residential accommodation.

Coordinate shared responsibilities

In multi-tenant buildings there may be several Responsible Persons. Explain which areas you control and what the landlord or facilities manager maintains. Ask for relevant fire safety information for shared systems and escape routes.

PAS 79-1:2020 provides recommendations for assessments in premises other than housing. The method and level of investigation should suit the use and complexity of the premises.

Prepare records and access

Have the previous FRA, alarm and lighting records, extinguisher service records, staff training information and emergency arrangements available. The quote should confirm the inspection scope and exclusions. Technical system testing, design verification and remedial works need separate agreement.
